This policy explains what information signontheline.net collects, how it is used, and how it is protected. Sign on the Line is a sole proprietorship operated by Steven Davis, a California Commissioned Notary Public based in Glendale, California. By using this website or my services, you agree to the practices described here.

Information collected through this website

The only place this website collects information is the contact form on the Contact page. When you use it, you choose to provide:

You may also contact me directly by phone, text, or email without using the form. In that case I receive whatever information you choose to send.

My web host automatically records standard technical information with each visit, such as IP address, browser type, and the pages requested. This is ordinary server logging and is not used to identify or profile visitors.

How the form is delivered

The contact form is delivered to my email by Formspree, a third-party form service. Formspree processes the submission in order to pass it to me and handles it under its own privacy policy. It is not used for advertising, and your information is not shared with anyone else through it.

How your information is used

Only to respond to you and to arrange and provide notary services: confirming your appointment, quoting your fee, finding your location, and following up afterwards about the appointment or an invoice.

I may also have to disclose records if the law requires it, for example in response to a subpoena or a court order. That applies to my client records generally, not only to the notary journal described below.

Payment

If you pay by credit card, your payment is processed by Square, a third-party payment processor. Square handles your card details under its own privacy policy, and I do not store your full card number. If you choose to have Square send you a receipt, Square will also have the email address or phone number you give it for that.

Whatever method you use, I keep only what I need for my own business records, such as the amount, the date, and the method of payment.

What this website does not do

Do Not Track

Because this website does not track visitors or collect personally identifiable information about their online activity over time, it does not respond to browser Do Not Track signals.

Text messages

If you give me your phone number, I may text you about your appointment, such as confirming a time or letting you know I am on my way. These are messages I send personally, not automated or bulk messages, and there is no marketing list. Standard message and data rates from your carrier may apply. Ask me to stop at any time and I will.

How your information is protected

I am the only person with access to the information I hold. My notary journal is kept in dedicated software protected by access controls and encryption, as described below. Contact form messages, email, and my scheduling records are protected by account passwords and by the security of the services and devices I use.

No method of storing or transmitting information over the internet is completely secure, so I cannot promise absolute security. What I can say is that I keep only what I need, I do not share it, and I do not sell it.

How long information is kept, and how to review or remove it

Contact form messages and emails are kept in my business email while they are useful, and client contact details are kept in my own scheduling records so that I can serve repeat clients.

To review, correct, or ask me to delete the information you sent through this website, email steve@signontheline.net or call (818) 804-8137. I will confirm what I have and remove it on request, with one exception, described next.

Records I am required to keep as a Notary Public

This is separate from the website, and it is important to understand.

California law requires every notary public to keep a sequential journal of notarial acts, and to record certain details of each act in it (Gov. Code 8206). That journal is a state-mandated record. I cannot alter it, delete entries from it, or remove your entry at your request, and it must be surrendered to the county clerk when my commission ends.

California law also gives the public a limited right of access to it. Any member of the public who submits a written request naming the parties, the type of document, and the month and year of the notarization is entitled to a copy of that line item, and I am required to respond within 15 business days. My journal is maintained in dedicated electronic notary journal software under my direct and exclusive control, protected by access controls and encryption and backed up securely. I am the only person with access to it, and I do not disclose its contents for any other purpose except as required by law, such as in response to a subpoena, a court order, or a lawful request from the Secretary of State or a peace officer.

California law specifies what the journal must contain, and it is more than most people expect. For each act I record the date, time, and type of act, the character of the document, the fee charged, your signature, and details of the identification you present, including its type, the agency that issued it, its identifying number, and its issue or expiration date. I record only what the law requires.

For deeds, quitclaim deeds, deeds of trust, other documents affecting real property, and powers of attorney, California law also requires me to take your right thumbprint in the journal. That requirement is statutory and I cannot waive it, even at your request. Deeds and powers of attorney are a large part of my work, so please expect it.

I do not keep copies of your documents as a routine practice. Occasionally, on a transaction handled through a title company, an estate attorney, or a similar professional, I keep a copy for a limited time in case a question comes up afterwards. Those copies are not retained long term, and they are destroyed once they are no longer needed.

Children

This website and my services are intended for adults arranging notary services. They are not directed to children under 13, and I do not knowingly collect personal information from a child under 13. If you believe a child has sent me information through this website, contact me and I will delete it.

Changes to this policy

If this policy changes, the revised version will be posted on this page with a new effective date.
